Scheduling a WYSL TBS Game

Here’s what you need to do if your game schedule shows a home TBS (or TBA) game. The home team is responsible for getting the ball rolling on arranging a “to be scheduled” game.

Todd, our RUFC volunteer field coordinator, is in charge of assigning weekday and Saturday times. On those days, the Rivertowns home fields that the club uses for travel games are his domain.

WYSL essentially “owns” Sundays – and the Rivertowns travel team fields. Once the WYSL season schedule is posted in GotSport, you will be able to navigate to any of our fields that serve as WYSL game fields and see the games scheduled there and any openings. The live schedule is dynamic and gets updated as schedules change.

Scheduling a TBS Game

-- To schedule a TBS game on a Saturday or weekday, connect with Todd to determine available dates/times for the type of field your team uses (e.g., Waterfront is available Saturdays after 12:00 for teams that play 7 v 7 or 9 v 9 – but on 10/2, its already got one TBS game at TIME). You can also look at his master schedule for the season. He sends a link that we don't post on our public website -- your best bet is to bookmark that link for reference during the season.

-- To schedule it on a Sunday, you will have to find available dates/times on your preferred fields on the WYSL schedule posted on GotSport.. Go to Clubs and find the Rivertowns United page (the link changes each season, so we are  not putting it here) -- you can get to Clubs from your team's game schedule page in GotSport.

-- On the Rivertowns United page, scroll down to the fields, and navigate to the fields your team is eligible to play on, based on their age level (each field lists a pitch type: 7 v 7, 9 v 9,, 11 v 11). For example, a U9 team cannot play on an 11 v 11 field like Springhurst, even if that field has openings.

-- Once you navigate to a field your team can play on, scroll to the date(s) you are interested in, and look for openings.

-- Reach out to the opposing coach with a few options (listing the date, time, and location) and between the two teams, agree on a specific date and time.

-- For Saturdays/weekdays -- confirm that date/time with Todd so that he does not double-book -- he will enter the game onto the master schedule so that nobody else can take that time.

-- For Sundays -- inform the WYSL  using this form -- available under WYSL / Registration / Forms:

-- Once the WYSL inputs the game into GotSport, your team's registered coaches/managers and the opposing coaches/managers should get an email from GotSport saying "game scheduled" or similar - the game will then appear on your team’s online schedule and will also be in the ref system so that a ref can sign up for the game. 

-- If you don't see that email within a few business days, email WYSL scheduler Terry Benson and WYSL admin Lee D'Argenio to make sure it didn't fall through the cracks. It is not automated from the form to GotSport ... a WYSL person has to enter it, at a time when they are working.

-- Keep your families up to date about the change, but better yet, educate your families to look at the team schedule online ... so that when game times change (or locations change) or TBS games get added, they are aware (and not expecting a PDF that you sent before season start will be accurate the entire season).
