AYSO 1390 Commission Meeting Minutes Saturday January 20, 2024 ZOOM call. 6:00 PM to 7:00 PM

Attendees: Katie and Jasmine Jones, Allan Hancock, Chris Crum, Chloe Keener, and Cary Mullen.
1. Registration for Spring season:  On line registration is open and on site registration will be held on Sat Feb 10 10am to 2pm. Backup on-site registration will be the following Saturday Feb 17 10am-2pm. Interregional play begins March 23th ending on May 18th.
2. Treasurer Report:  AYSO 1390 acct: $24,810.97.21; KSA acct was closed down Oct 13 2023 and all monies were transferred to AYSO 1390 account. So far registration monies collected starting on Dec 20, 2023 up to the present day has been $3642.36. Expected Management fee to Knox County Parks and Recreation $5000 (one year) is due this spring.
3. Training: Section 5/14 Expo will be held at Embassy Suites Airport, 10 Century Blvd, Nashville TN 37214 on the weekend of Feb 23-Feb 25. Early registration cost is $180.00. Eight people from AYSO 1390 are registered to go.
4. Work Days: March 2 10am to 12noon. Additional day next Saturday.
5. Field Development: No cricket games were played in the year 2023 as far as we know. Parks and Rec had delivered portable goals for these 2 fields in early September. The first Saturday after Labor Day was reserved for Ultimate Frisbee so no soccer games were played. Several dump truck loads of topsoil were delivered last year and some has been applied to the fields. Some front loader bucket loads were placed at the low spots in the goal at the goal line but have not spread out yet. This will be done soon. Most of the grass seed in the metal building received early last year have been applied to the fields except for a few 50 lb bags.
6. Field Equipment: Allan had winterized the paint machines at the end of the fall season. A new Graco paint machine was purchased at the end of the fall season and has not been used yet. Chloe said some of the paint nozzles were missing and Allan said he would check on this and get more if needed.
7. Volunteers:  Allan said many volunteers have not completed their background checks, and associated training (coach training, Safe Haven, Cardiac Arrest, Concussion Awareness, and Safe Sport). Chloe and Jasmine will notify those needing this vital training.
8. Financial:  A temporary bank card is being used for the interim to pay for vital bills. Allan and Chris have received the new Divvy (now called Bill) cards but both needs to be activated. Once all this is done, it was voted and passed that all volunteer fees (currently $25/each) would be paid through the Bill account.
9. Uniforms: Chloe said the uniforms for the region have been ordered.
10. Area Meeting: The Area 5B meeting will be held on Feb 3rd. At this meeting the site for the Area Games and the Section games will be determined.
11. Area/Section Games: Area games will be held on May 4-5 with location unknown at this time.
12. Parking Lot: The large main parking lot was paved with asphalt during the Fall 2022 season. The line stripping for each parking spot was to be done by Knox County Parks and Recreation department but nothing had been done with the start of the Fall 2023 season. Region 1390 did the job itself with the parking spaces being 10 feet wide and the length were from 16 to 20 feet deep. The latex paint is still quite visible and does not need to be repainted at this time (on the blacktop).
13.EPIC: Chloe said the AYSO program for special education players called EPIC will be attempted this spring season with games played later on Saturday afternoons. A rollout bash is planned a week before the start. Buddies would need to be recruited for these. Buddies will have to be Volunteers and as such will need to complete volunteer training except for coach training.
14. Photographer: Tentatively a photographer will be on site to take photos of players on the 2nd or 3rd week of the season. For the upper age players this can be during practice during the week. For Academy this will be on a Saturday.
15. Next Region Meeting: The next region 1390 meeting will be at Allan’s home on Saturday March 16th 6pm
